Seedoo is an open source modular ecosystem for IT protocol management and document management in accordance with the legislation in force.
Seedoo is content with a complete management of the process of a protocol by laying the foundations for the achievement of concrete and measurable objectives, reducing the time and cost of archiving and managing the process.
Seedoo is a fully web-based solution, ensuring high accessibility and low maintenance costs. The modern user interface is built through Best-practices to respect both performance and simplicity of use according to usability principles.
The system architecture is multi-layer, which guarantees the scalability of the system as it is possible to devote one or more machines to each component (database, server, FrontEnd).
The modular architecture makes the system very scalable and flexible, allowing for simpler and faster maintenance on individual modules.
The IT protocol represents the point of entry and exit of all correspondence from the public administration, allowing the various types of documents processed in the context of administrative and/or business processes to be acquired, recorded, searched and consulted.
Seedoo is developed in accordance with the legislation and guidelines provided by the AgID (Agency for Digital Italy) with regard to document flows, protocol and replacement conservation.
The protocol form is fully integrated with the ECP management.
Through a web-based interface it is possible to view incoming ECPs and register documents through a guided process.
In outgoing protocol flows, PEC can also be used as a means of dispatch.
If you automatically acquire the Acceptance and Delivery receipts of documents sent via certified email (certified email), you can at any time monitor the delivery status of your protocol sent via certified email to the receiving PA on a dedicated dashbord.
Sending errors to incorrect PEC recipients are also monitored and displayed on the dashboard.
Seedoo supports interoperability between protocol systems using certified electronic mail (certified electronic mail) as a means of dispatch.
The protocol information is pre-filled through the parsing of the _signature.xml_ of the incoming documents, thus streamlining the work of the operators.
All return messages both sent and received are managed, including:

— exception Notification Message
— confirmation Update Message
— Protocol Cancellation Message
The system produces the * * Protocol Day Register containing the information required by the legislation. * *
The daily register is generated in PDF/A format, thus providing imalterability and statility characteristics for archiving in the long term. Seedoo also makes it possible to create the payment package for the register ready for transmission in * * Replacement retention. * *
A hash algorithm (SHA-256) footprint is generated in the computer document protocol record that uniquely identifies the document within the document system.
The protocol signature is the association to the computer document of a signature file (Segnatura.xml) containing all the information relating to the document: — administration identification code – AOO (homogeneous organisational area) – Register – Date and Protocol Number.
In outgoing PEC records, Segnatura.xml is attached to enable the receiving PA to automate the protocol registration of the document received.
All operations on documents are tracked and recorded in order to reconstruct the entire history of the evolution of a document and the processes associated with it.
This history is made available to users through an intuitive interface that allows them to understand the entire life cycle of the document from its registration to its archiving.
Through its Seedoo workflow engine, it makes it possible to simplify and govern the processes of document sharing, identifying the relevant offices and managing all phases of allocation and sorting.
The operational dashbord allows for perfect monitoring of the activities of its own interest, with an increase in effectiveness and efficiency for the entire administration.
Seedoo allows centralised and shared management of all the records associated with the organisation’s documentary processes.
The Heading collects in a structured manner all the information on the contact details of the entities subject to correspondence or involved in the internal sorting processes.
The Body shall be able to import easily, by means of CSV tracks, any register in its possession. These records will then be fed and updated both manually and automatically by reading the contact data from the certified email received and managed by the system.
Seedoo allows documents to be classified using a multi-level configurable titre.
This classification allows not only proper archival management of documents but also the possible definition of subsequent document processes for allocation and execution.
The document can be traced back to the file/procedure by means of the virtual file representing it.
The file, which is characterised by descriptive and authorisation metadata, is fed not only by registered documents but also by documents produced internally by the Organisation. The multilevel structure of the files (File, Sotto-File, Inserto) allows documents to be organised effectively through different levels of aggregation.
