In 2005 Gladsaxe purchased the registration system Webbooking to be used for the administration of participants in the Gladsaxe Kommune Summer Holiday Activities for children and young people. The system is set up to online registration via webbooking.gladsaxe.dk for a specific starting date. At the same time, registrations may also be made by telephone via Gladsaxe Kommune. The summer activities are very popular in the municipality of Gladsaxe, and the participants will be registered following a first-come basis, which is handled by the system as all entries are registered at the precise logging hours.

With this system the municipality has achieved an improved citizen service regarding a higher level of quality in case processing, including transparency, and with reduced administration costs. For the event in 2007, approx. 800 children were registered during the first hour. Approx. 70% of the registrations (approx. 2500) were booked during the first day – and the teams could thus be grouped by participant information, activities, activity weeks/dates, teams, etc. Several weeks of manual signing registrations and letter writing have thus been saved in the administration. The desks have been transmitted to the users, who may sign in, cancel, change registrations/bookings and view their status. Finally, there is the possibility of paying the registration fee via the online system using the credit card or via submission of a giro form. Lists of participants, letters for participants, and statistics are very simple to set up and print for the organizers and instructors. The system is integrated with an interface to the CPR system and the municipality financial management system, and thus any release of giro forms to the registered parents/children having chosen this type of payment is only a few clicks away.Return on investment

Lesson 1 - Self-service solutions in the Internet are positively received by the users – especially households with children. Therefore, the self-service solutions must be considered in every possible respect. Lesson 2 - Simple and well-arranged tool both for the users and the administration dealing with the activity setup – plus the setup of the web-layout and the arrangement of interfaces for other systems Lesson 3 - The system’s simultaneous handling of many registrations is all-important – the first couple of minutes upon opening the registration access.
